Integrated Project Controls

Sync, Streamline, Succeed with Pioticon's PI System

As Engineering & Construction Industry delve into the core challenges impacting major project delivery, it becomes evident that a transformative shift is essential. Bridging the gap between these challenges and the path to success must be a well-defined strategic approach that revolutionizes how projects are managed and executed. This shift, rooted in Integrated Project Controls (IPC), not only addresses current inefficiencies but serves as the linchpin for a more streamlined, coordinated, and successful project journey.

IPC is at the heart of project success. It ensures that all project stages are aligned and synchronized, improving coordination, well-informed decision-making, and optimal resource allocation.

Our Approach

3-pillars of Pioticon’s IPC approach

Integration

Integrating key project management components like – scope management, planning and scheduling, cost management, risk management, and performance monitoring, to ensure all stages are synchronized for project Success

Collaboration

With a strong focus on data integration and cross-functional collaboration, we provide real-time insights and clear visibility into project progress, enabling informed decision-making at every stage.

Optimization

Leveraging cutting-edge tools and methodologies to optimize resource allocation, enhance efficiency, minimize risks, and ensure timely project delivery within approved budgets.

Our Methodology

Our comprehensive and collaborative methodology usesis using strategically designed Pi System to enhance end-to-end project efficiency, ensuring sustained success over the long term. From meticulous planning to flawless execution, we synchronize every project element to ensure on-time and cost-effective delivery

Planning

Our IPC  planning’s success is rooted in all key success, with all critical components accounted for, from scope management to quality assurance.
  • Scope development – We break down the mega project scope and outline the detailed deliverable package using an integrated work breakdown structure (WBS).
  • Execution and contracting strategy development – We work with the project leaders and key persons to develop a consolidated delivery methodology best suited for the project goals.
  • Schedule planning and development – We define risk-adjusted schedule performance baseline by collaborating with the planning & scheduling team.
  • Cost estimating and budgeting – We work with estimators and cost controllers to analyzeanalyse and build an effective cost performance baseline with earned value management setup.
  • Quality assurance – Clear IPC deliverables are established and Quality checks are in place, ensuring everything goes smoothly. This way, projects move ahead confidently and hurdles are handled.

Execution

Our IPC  execution is focused on making things happen effectively and flexibly. Here's how we do it:
  • Progress measurement: We ensure quantitative progress by providing sensible insights with appropriate EVM  rules of credits to track progress against baseline.
  • Change management initiation: Changes are inevitable hence we set up triggers to initiate relevant actions and adapt our plans strategically.
  • Schedule management and control: We ensure the schedule is in place and in-time at all levels  by watching the schedule closely and taking corrective action when it deviates.
  • Cost control: We manage the project’s cost performance and productivity carefully, to ensure resources are utilised wisely.
  • Risk and contingency management: We monitor contingency drawdowns that are robust with stringent approval processes and control in place.
  • Quality deliverables management: We monitor the list of deliverables with defined formats from all functions to meet the required quality standards.

Performance assessment

Our methodical approach to project performance assessment is focused on making informed decisions and ensuring the project stays aligned with its objectives.

  • Performance measurement: We gauge how well the overall project is doing against project goals/KRAs and set KPIs measured against the defined rules.
  • Variance analysis: We compare planned with actual results to identify any schedule and cost deviations and their implications.
  • Schedule performance assessment: We assess the project schedule performance % complete, SPI, and critical milestones’  actual status and forecast dates to review against the plan.
  • Cost performance assessment: We analyze actual cost against the budgeted value of work done and forecast estimate to complete validation of whether the project is staying within budget.
  • Forecasting: By looking at trends and performance data, we analyse inherent and contingent risks to predict potential future outcomes and challenges, helping us stay ahead.
  • Quality performance assessment: We assess the integrity of data to provide confidence in the reported schedule and cost performance.

Reporting & communication

We follow a systematic approach to project reporting and communication  informed decision-making and ensure the project stays aligned with its objectives

  • Project control deliverables, including forecasting: We provide clear overall project performance and forecasting updates with its reasoning, corrective actions and decisions to meet expectations.
  • Project status reporting, including change management: We ensure periodically sharing of the accurately measured project status,  changes, issues and risks that might affect the objective.
  • Schedule performance reporting: We communicate how well the project is sticking to the schedule, and ways to bring it back on track when it deviates, and continuously improve the realistic timeline for the remaining scope schedule from the lessons learned.
  • Cost performance reporting: We give insights on where performance can be improved, how the project’s expenses align with the risk-adjusted budget, and highlight the best way forward.
  • Project control communication plan: We maintain a clear RACI and stakeholder communication plan, and performance reports are shared with issues and actions to the right people to resolve.
  • Quality performance reporting: Our quality scoring system ensures assurance that all project control deliverables are high-quality outcomes to meet objectives
